Church Directory FAQ

Who will be given access to the Calvary online Portal and Directory

An invitation to establish a Calvary Online Portal account, and access to the Directory, will be given to families who have at least ONE family member who is (a) an active member (individual has made commitment to support Calvary UMC through prayers, presence, gifts, service and witness) or (b) an active constituent and regularly participates in worship services and activities at Calvary UMC.

How is access to the Calvary portal and Directory requested?

If your family hasn’t received an email invitation from no-reply@servantkeeperpc.com), send an email to membersec.calvaryumc@gmail.com requesting an invitation and include in your request your name, family member names and the email address you would like the invitation sent to.

How do I upload my photo?

Within the Portal, there are two locations where a photo can be uploaded, at the Family Profile and at each family member’s Individual Profile.

  • Click on “Upload Picture”

  • Click on “Select Image File”

  • Go to the location where you have saved the photo you want to upload, place cursor over the photo file name and click “Open”

  • Adjust and move grid lines as needed to best fit family or individual in the grid box, then click “Crop”

  • If photo looks OK, click “Save Picture”

If picture is tipped sideways, you will need to edit your photo file to rotate it and save with a new file name, then begin the upload process again.

Some photos may need cropping to fit in the SQUARE format of the Directory. Before starting the upload process, open the photo you want to upload, choose the edit feature, then Aspect Ratio, then Square, adjust frame parameters as needed, Save A Copy (will have a new file name that you can then upload.


Quick Tips

Click on the “Family” button to see the Directory by Family with address, phone number and email for the family with a family photo, plus the names of family members with a photo of each if available. Click on a family member’s name and see their address, phone number(s), and email address(es).

Click on the “Individual” button to see the Directory by Individual with name, address, phone number(s) – indicated by Home, Work and Cell, and email address(es), along with their photo if available.

Both the Family and Individual Directories can be viewed by List or Grid, see the buttons to the right of Family and Individual buttons.

Use the search bar above the Family and Individual buttons to facilitate look-up using last name (or partial).

Click “Logout of Directory” at the bottom of the screen to exit.

For More Information

Calvary UMC is now using a Church Management Software called “Servant Keeper” to track financial giving, membership status and family/individual contact information. The software allows each family access, via a “Portal” account, to certain data to make updates when necessary (click SAVE in each section a change is made). Access to the Portal is by “invitation” from no-reply@servantkeeperpc.com) and each family sets up a password for access using the email address receiving the invitation. If you receive an email from membersec.calvaryumc@gmail.com, this is a valid email the Membership Secretary (Karla Smith) is using.

Once in the Portal, you will be at the Main Portal Screen.

The Main Portal Screen shows: Directory family name, family address and home phone number; and family Year To Date Giving History. From here you can move to Profiles (Family and Individual(s)), Giving History and Involvement via the black menu bar (or links on the right side of the screen). If you want your Directory family name changed, email the change to membersec.calvaryumc@gmail.com.

a. Under Profiles, the Family Profile – Family address is used for individuals living at the same address. Sections you can edit include: Address, Phone Number, Email Address (financial giving statement will use this email if your family has been assigned an Envelope Number), Directory Visibility (used to limit the information you want others to see) and Family Photo.

· If your family is not receiving an email with your financial giving and your family has been assigned an Envelope Number, email BOTH finsec.calvaryumc@gmail.com AND membersec.calvaryumc@gmail.com with your Envelope Number and email address for the Family Profile so the Financial and Membership Secretaries can make the updates.

· If your family temporary relocates for part of the year, an alternate address (with FROM and TO dates) can be provided to membersec.calvaryumc@gmail.com.

· If a cell phone number is listed in the Phone Number field, the Directory will NOT indicate this is a cell number. The software expects Family phone number to be a “Home” number. If Home phone number is left blank, Directory users will need to check the Individual profile for a photo number.

· Upload photo, you can email the photo to membersec.calvaryumc@gmail.com, or upload it yourself. To learn how to upload it youself see our FAQ "How do I upload my photo?"

· To go to another section, click the appropriate selection on the black menu bar or click on a family member’s name to view their individual profile.

b. Under Profiles, each first name links to the Individual’s Profile – Sections you can edit include: Name, Address, Phone Numbers, Email Addresses, Birth Date, Gender and Education, Directory Visibility and Individual Photo.

· Name – If the individual has a preferred (nickname), enter it in the identified field.

· Address – The software allows you to edit this field, BUT changes to family address should be made under the Family Profile. If an individual lives at a different address (or you want them at your address but as their own family) , email membersec.calvaryumc@gmail.com with the individual’s name, address, phone number and email so a Family Profile can be established, and the individual can be invited to establish a Portal account.

· Phone Numbers – Options include Home, Work or Cell (with applicable label shown by the phone number(s) you choose to have listed in the Directory).

· Email Addresses – Up to 3 email addresses can be entered for an individual.

· Birth Date – You may see an individual’s full birth date if that has been shared with Calvary, blocked current from the Directory (if shown in the future, would only be Month and Day). If you want an individual’s birth date edited, contact membersec.calvaryumc@gmail.com; the software accepts Month and Day without Year. For baptized individuals full birth date should be on file.

· Education– Enter current grade. If editing this field in July, contact the Church Office to determine if “promotion” to current grade has been run (if it hasn’t, enter the last grade completed so the software “promotes” the individual to the current grade). Will not display in Directory.

· Upload a photo - See instructions under Family Profile above for family members 18 and above. For individuals not yet 18, email the photo to membersec.calvaryumc@gmail.com, the photo will be marked “Unlisted” so it does not displayed in the Directory.

· If an individual is missing from your family, email membersec.calvaryumc@gmail.com with the name of the individual and their relationship to you so a profile can be created.

· To go to another section, click the appropriate selection on the black menu bar.

c. Giving History (View More on Main Portal screen) – Shows Overview or Details of family giving. Filter by category or see giving record by Year, Quarter, Month or Week. Historical giving displays, if on file.

d. Involvement – See in Portal but NOT in the Directory, you can enter information by individual for:

· Current “Activities” the individual is participating in

· Where the individual is “Willing To Serve” and

· Any “Allergy” Calvary staff should know about

f. Visit Calvary Church’s Directory – Access Calvary’s Online Directory, using the Directory specific password, to see families (and individuals therein) or individuals, by name listing or grid format.

· Select the Family tab, and click on a family name to get mailing address, home phone number and email address, plus see names of family members and a family photo if provided. Clicking on a family member’s name will display address, phone number(s) with Home, Work and Cell indicated, email address(es) plus adult individual photo(s) if provided.

· Select the Individual tab, and click on an individual name to get mailing address, phone number(s) with Home, Work and Cell indicated, email address(es) plus adult individual photo if provided.

· Search bar above the Family and Individual buttons facilitates look-up using last name (or partial).

· Click “Manage My Family Info” at the bottom of the screen to return to your Main Portal screen, make edits (save), then return to the Directory to verify change(s).

· Click “Logout of Directory” at the bottom of the screen, then go to the top of the screen where the “Directory Log In|Servant Keeper” window tab is, click the “X” to close the window. To exit your Portal account, click the red square with a circle found on the black menu bar.

At any time, to logout of the Portal, click the red square with a circle found on the black menu bar.
